What Does a Real Estate Transaction Coordinator Do in California?

A transaction coordinator handles the paperwork side of escrow so you can focus on clients. Here is exactly what a California TC does, from open to close.

If you’ve ever spent a Sunday night chasing a missing initial or digging through emails for an inspection report, you already know why so many California agents work with a transaction coordinator (TC). A good TC is the calm, organized partner behind every deal. You stay with your clients; we keep the file moving.

What a transaction coordinator handles

A TC manages the administrative side of a transaction from the day escrow opens until it closes. In California, that usually includes:

  • Disclosures: preparing and sending the disclosure package (TDS, SPQ, NHD, lead-based paint when required, and the rest) and collecting every signature.
  • The contingency calendar: tracking the deposit, investigation, appraisal and loan deadlines, and reminding everyone before they hit.
  • Communication: keeping agents, escrow, lender and title updated so nobody is guessing where the deal stands.
  • Home warranty: ordering the home warranty and making sure it’s in place before closing.
  • Compliance: auditing the file for missing signatures, initials and dates, then uploading the complete file to your brokerage’s system.

What a TC doesn’t do

A TC doesn’t replace you. Negotiation, pricing advice and your relationship with your client stay with the agent. Think of a TC as the person who makes sure what you negotiated actually gets documented, signed and delivered on time.

Why agents hire a TC

Most agents tell us the same three things: they want their evenings back, they want fewer last-minute surprises, and they want a file that passes compliance the first time. When the paperwork is handled, you can take more listings, spend more time with buyers and stop worrying about a deadline slipping through the cracks.

Do you need a licensed TC?

California doesn’t require a license for purely administrative TC work, but experience matters. At Signature TC, our lead coordinator is licensed and certified, and our Sales Management and Executive packages are run by a licensed broker who can step in on the bigger tasks too.

Let us take the paperwork off your plate

Signature TC has helped Los Angeles and Southern California agents close over 2,500 escrows. Your first file with us is just $250 (50% off), you only pay when escrow closes, and there are never cancellation fees.
